Booking a Coach: Request, Quote, Accept
Three steps, and you decide at each one. Nothing is charged before you accept a quote.
Step one: send the plan
We need the passenger count, the date, the pickup time and full address with postcode, every stop in order with how long you stay, and where the day finishes. Mention luggage, kit bags, instruments or wheelchairs, since they can change the vehicle. For a transfer, add flight numbers or the ship's name.
For a school group, give the ages. On a coach, anyone 14 or older has to wear a fitted belt. In a minibus, children from 3 until they reach 135 cm or turn 12 need a child restraint; an adult belt is the fallback when no restraint is available. If anyone uses a wheelchair, say so now: coaches hired for private trips are outside the PSVAR accessibility rules, so a suitable vehicle has to be requested for your booking.
Step two: an operator prices it
We pass the plan to a licensed, insured partner operator with a suitable vehicle free that day. The operator works out the mileage, the hours, any waiting time, tolls such as the Dartford Crossing or the M6toll, clean air zone compliance, and permits. Heathrow, for example, needs a pre-booked forecourt slot for a collecting coach, and Newcastle Airport will not let a larger coach onto the terminal front without a booking made a day or more ahead.
Some itineraries break the legal driving limits for a single driver. Then the choice is a second driver, an overnight stop or a shorter day, and the quote spells out which one it assumes.
Step three: read and accept
You get one quote for the trip. It names the vehicle, sets out the times and the route, lists what is included and gives the cancellation terms. Those terms are set by the operator and differ by vehicle, so read them before deciding. If something is wrong, ask for a change; asking commits you to nothing. When it matches, accept it. That is the first moment anything is charged.
When the plan moves
Numbers drop, a flight is late, a stop is added. Tell us as soon as you know. We take it to the operator. Should the change alter the price, the revised figure reaches you first, and nothing extra is charged before you have seen it. If you have to cancel, the terms on your quote apply.

Headcount, date and places will do for a first quote. Exact times can follow, but a vague plan gives a vague quote.
Is the quote binding on me?
No. You can decline it or ask for changes. Nothing is charged until you accept.
Who do I deal with once it is booked?
Us. We stay your contact for the booking and pass changes to the operator, whose driver runs the day.
