Heathrow coach transfers: permits, stands and the run into London
At Heathrow a coach does not wait outside arrivals. It holds at the West Ramp, takes a booked slot and is called onto the forecourt once everyone is assembled. Plan the day around that sequence.
How a Heathrow pick-up runs
First stop for the driver is the West Ramp Coach Park. The Coach Marshal team then sends the coach to a stand on the right forecourt. Each collection needs a forecourt permit booked online for that single journey, so the operator must know the terminal and landing time.
The limits are tight: no arriving more than 10 minutes before the slot, no more than 30 minutes at the West Ramp before the collection, and 20 minutes on the stand. Enough to load bags; not enough to wait for people still at passport control.

The group leader's part
When the whole party is through reclaim, the leader tells the Forecourt Coach Marshal. Only then is the coach called. Count heads and do the toilet stop first.
Before 06:00 and after 22:30 a coach may go straight to the terminal without a permit, which makes very early and very late arrivals simpler.
Where the driver meets you
- Chartered coaches collecting a group report first to the West Ramp Coach Park, where the Coach Marshal team dispatches them to a stand on the terminal forecourt; the group leader tells the Forecourt Coach Marshal when the group is ready. Coach stands: Terminal 2 arrivals forecourt (ground level), lane 3, bus stops 13-14; Terminal 3 arrivals forecourt, bus stops 9-10; Terminal 4 arrivals forecourt (ground level), lane 3, bus stops 18-19; Terminal 5 arrivals forecourt (ground level), lane 1, bus stops 16-16B.
Where coaches wait
- West Ramp Coach Park (postcode TW6 2QU), open 06:00-22:00 every day of the year. Drivers pre-book a single-journey forecourt permit online, may not arrive more than 10 minutes before their booked slot or wait there more than 30 minutes before the collection, and may spend no more than 20 minutes on a terminal stand.
Drive to the city centre
- about 17 miles by road to Trafalgar Square, about 40 min in light traffic; longer at peak times
Split flights and departures
Terminals 2, 3, 4 and 5 each have their own coach stand. If the group lands at two of them, choose one as the gathering point and move everyone there first; otherwise you are booking two pick-ups.
For departures, coaches set down in dedicated bays: lane 1 of the Terminal 3 departures forecourt, lane 2 on the upper level at Terminal 5. Buses and coaches get a full discount from the Terminal Drop-Off Charge automatically; a taxi making the same drop pays.
On the road to central London
Trafalgar Square is about 17 miles by road: roughly 40 minutes when traffic is light, much longer in the rush hour.
A coach over 5 tonnes must meet the Low Emission Zone standard, Euro VI, or pay for the day, so ask for a compliant vehicle. The Congestion Charge gives 9+ seat vehicles a 100% discount, automatic for those registered as buses. At the hotel, a coach may stop on yellow lines only while people are actually getting off.
Bath Road hotels
Long-haul groups often spend night one at the Bath Road hotels. That short hop still needs a West Ramp check-in and a permit, so book it as a full collection.
Questions
Can the coach wait outside arrivals while we clear passport control?
No. Forecourts are patrolled, drivers must stay with the vehicle and a stand is limited to 20 minutes. The coach holds at the West Ramp until the leader tells the marshal.
Does a coach pay Heathrow's Terminal Drop-Off Charge?
No. Buses and coaches receive a full discount without applying. Taxis and private hire cars pay it by midnight the day after the visit.
Part of our group lands at a different terminal. What then?
Pick one terminal as the gathering point and send the others to it. Give us both flight numbers with the request so the operator plans a single collection.
