Moving delegates is mostly a stopping problem: where the coach can pull in, for how long, and how many coaches can load at once.
Ask the venue about set-down first
Before the quote is final, ask the venue two things: where coaches set down, and how many can stand there together. The answer decides whether a transfer of three hundred people loads in one go or in waves.
Exhibition campuses are simpler than city-centre halls. The NEC sits beside Birmingham Airport and Birmingham International station. Liverpool's Kings Dock campus has coach drop-off areas next to the site. In Manchester, a short-stay coach bay gives 20 minutes, no more. Birmingham charges a coach below Euro VI a daily fee anywhere inside the A4540 Middleway.

Hotel loops
List every hotel by street address, with the number of delegates at each. One coach looping four hotels spends most of its time at the kerb, so two coaches on split loops often work better.
In London, a vehicle registered as a bus may set down and pick up at red-route bus stops but may not wait there, so delegates should be in the lobby first. For the Congestion Charge, a coach registered with DVLA as a bus is exempt automatically; other vehicles of that size must be registered with TfL.
Rules that apply
- Most coach work follows the assimilated (ex-EU) drivers' hours rules: 9 hours' driving a day, extendable to 10 hours twice a week
- Drivers need a daily rest of at least 11 hours, which can be reduced to 9 hours up to three times between weekly rests
- PSV operator licence discs must be displayed so they can be read from outside the vehicle
Long days and drivers' hours
Private hire coach work in Britain normally runs under the assimilated rules (the former EU rules). A driver may drive 9 hours a day, or 10 hours on two days in the week, and must stop for 45 minutes by the time 4.5 hours of driving have built up. Daily rest is at least 11 hours, cut to 9 hours no more than three times between weekly rests.
An airport pickup at 06:30 and a gala dinner ending at 23:30 will not fit one driver once rest is counted. Give the first pickup and last drop-off for each day so a second driver can be planned. On a three-day event, the weekly driving cap of 56 hours, and 90 across two weeks, can also bite.
Questions
Can the coach wait outside the venue all day?
Rarely in a city centre. It sets down, moves to a coach park or stand, and returns at an agreed time. Manchester's medium-stay stands allow up to 4 hours.
Do we need the same vehicle for every session?
No. Size the plan on the biggest movement, usually the morning arrival, and use a midi coach or minibus for the quiet late runs.
What should we send for a quote?
Dates, the programme with times, every address, the headcount for each movement, and any delegates who need step-free access.
